2. Service description

WrkSched is a web application for workforce capacity planning and team scheduling. It enables project management, allocation of working hours to team members, capacity tracking, time-off management, and report generation.

3. Registration and user account

Registration is required to use the Service. During registration, the user provides a company name, name, email address, and password. By registering, the user confirms that:

  • The provided information is true and up to date.
  • They are authorized to act on behalf of the specified company (in case of company registration).
  • They agree to these Terms & Conditions.

The user is responsible for securing their account and password. The Operator is not liable for unauthorized access to the account caused by insufficient security on the user's side.

4. User obligations

The user agrees to:

  • Use the Service in accordance with applicable laws and regulations.
  • Not misuse the Service to store or distribute unlawful or harmful content.
  • Not attempt unauthorized access to other users' data.
  • Not carry out attacks on the Service infrastructure.

5. Pricing and payments

5.1 Seat types

The Service distinguishes two types of seats:

  • Member — a user with app access (can log in, view the calendar, submit time-off requests, etc.).
  • Slot — a planning-only seat without app access (e.g. junior staff, freelancer, unfilled position).

5.2 Plans

Free — free of charge, up to 5 users (any combination of Members and Slots). Includes basic features: scheduling, capacity views, time-off management, and email support.

Team — for teams with more than 5 users. Price: €3 / Member / month, €1.50 / Slot / month. Includes all features without limits (reports, profitability, hourly rates, REST API & MCP).

5.3 Plan transitions

  • Transition from Free to Team occurs automatically when adding the 6th user, or upon user request.
  • Transition from Team to Free is possible after reducing the number of users to 5 or fewer.
  • Seat type (Member / Slot) can be changed at any time; the change is prorated for the remaining period.

5.4 Billing

Billing occurs monthly on the 1st of each month based on the current seat count. Mid-month seat changes are prorated.

5.5 Beta period

The Service is currently in open beta, during which all features and plans are available free of charge. The end date of the beta period has not been set. All users will be notified at least 30 days in advance via email before the transition to paid plans.

6. Personal data protection (GDPR)

6.1 Data controller

The data controller is Ing. Michal Bajer, Company ID (IČO) 75476274.

6.2 Scope of processed data

Within the Service, we process the following data:

  • Registration data: name, email address, company name.
  • Service usage data: logins, work allocations, projects, time-off records, capacities.
  • Financial data: user hourly rates, project hourly rates, and company fixed costs (entered by administrators for profitability reporting).
  • Change logs: records of changes to allocations and time-off entries (who changed what and when).
  • Technical data: IP address, browser type, access time, and last activity timestamp (to ensure security and proper functioning of the Service).

6.3 Purpose and legal basis of processing

We process personal data based on the following legal grounds under GDPR Art. 6:

  • Performance of a contract (Art. 6(1)(b)) — to provide the Service and manage user accounts.
  • Legitimate interest (Art. 6(1)(f)) — to ensure security and prevent misuse.
  • Consent (Art. 6(1)(a)) — for sending commercial communications (if the user gives consent).

6.4 Data retention

We retain personal data for the duration of the user account and subsequently for the period necessary to fulfill legal obligations (particularly tax and accounting), but no longer than 3 years after account deletion.

6.5 Data subject rights

As a data subject, you have the right to:

To exercise your rights, contact us at [email protected].

7. Cookies and analytics

7.1 Essential cookies

The Service uses technical (essential) cookies to ensure proper functioning of the application, in particular to maintain user sessions and protect against CSRF attacks. These cookies are necessary for the operation of the Service and cannot be declined.

7.2 Analytics cookies (consent-based)

To improve the Service, we use the analytics tool PostHog (hosted on EU servers — Frankfurt, Germany). On the user’s first visit to the Service, a cookie banner is displayed offering the following choices:

  • Accept all — enables storage of analytics cookies and data in the browser’s local storage. PostHog then records anonymous usage statistics, session recordings, and click heatmaps. This data is used solely to improve the user experience.
  • Essential only — PostHog runs in cookieless mode, stores no data in the browser, and session recordings and heatmaps are disabled. Only anonymous aggregate page-view data is recorded.

You can withdraw your consent at any time by removing the wrksched_cookie_consent entry from your browser’s local storage, or by contacting us at [email protected]. The Service does not use third-party marketing cookies.

7.3 Error monitoring

For error monitoring, we use Sentry, which records technical information about application errors to improve service stability. Sentry does not process users’ personal data.

8. Limitation of liability

The Service is provided “as is”. The Operator is not liable for:

  • Temporary unavailability of the Service due to maintenance or technical issues.
  • Data loss caused by circumstances beyond the Operator's control.
  • Damages resulting from unauthorized access to the user's account.

The Operator will make reasonable efforts to ensure the availability and security of the Service.

9. Changes to the terms

The Operator reserves the right to modify these terms. Users will be notified of material changes via email or in-app notification at least 30 days in advance. If the user does not agree with the changes, they have the right to close their account by contacting the Operator before the effective date of the new terms.

10. Governing law

These terms are governed by the laws of the Czech Republic. Any disputes shall be resolved by the competent courts of the Czech Republic.
